Vitality Unleashed Psychology operates a cancellation policy for all psychology and dietetics appointments scheduled with our practice. Cancelling or re-scheduling an existing scheduled appointment either on the same business day or the business day before the scheduled appointment, and non-attendance at a scheduled appointment without notice (‘no-show’) will strictly incur a cancellation fee. A cancellation fee is payable by the client, regardless of how the cost of the sessions is arranged to be covered (e.g., by WorkCover QLD, Insurance). 

Vitality Unleashed Psychology reserves the right to refuse to schedule any further appointments until outstanding fees are paid, at the discretion of the Principal Psychologist. Under exceptional circumstances at the discretion of the Principal Psychologist, the cancellation fee may be waived.

Fees are processed to the card nominated on your file.

It is your responsibility to ensure that you attend your scheduled appointment, or provide sufficient notice directly to the practice to change your appointment to avoid a cancellation fee. 

Please keep in mind that any appointment can be delivered via Telehealth video chat or phone call, so this is an alternative to cancelling your appointment altogether. Please contact reception if you would like to make any changes to your appointment delivery method.

Cancellation of Your Appointment at Short Notice Has an Effect on:

1. You. Overcoming your presenting psychological or physical well-being difficulties requires a commitment to your treatment. Progress simply cannot be made if you do not attend your psychological or dietetics appointments as scheduled as momentum of treatment is lost.

2. Other clients. There are many clients who are on a waiting list for an earlier appointment, and these clients are missing out on an earlier appointment they need. With sufficient notice of cancellation, we are able to offer this earlier appointment to them, however without sufficient notice, this is very difficult for us to do.

3. The psychologist/dietitian. Inadequate notice of change to appointments and non-attendance is disruptive to the psychologist/dietitian’s time whom has allocated your consultation time to you to help you achieve your treatment goals.

Appointment Reminder

We will provide you with up to 3 courtesy appointment reminders to help you remember your appointment.

Day appointment is booked:
We will email an appointment confirmation on the day the appointment is made.
4 days prior:
We will send you a courtesy reminder via e-mail prior to the appointment.
2 days prior:
We will send you an SMS to confirm your appointment prior to your scheduled appointment requiring you to reply ‘Yes’ or ‘No’ to confirm your attendance.

Please note that our automated SMS’s with your appointment reminders are one-way only. Notify us of a change to your appointment as soon as possible by phoning us on 07 5574 3888 Mondays to Fridays during reception hours (Closed Public Holidays).

We are not open Saturdays or Sundays. If you need to notify us to cancel your appointment outside of our reception hours, please either reply ‘No’ to your appointment reminder as it will update in our appointment diary automatically, or phone our number and leave a message or email

Please also note that time frames as noted above still apply regardless of when your text reminder was received.

Reminder Strategies

  • On your fridge or bathroom mirror, or somewhere else where you will see this regularly
  • In your diary or calendar that you use
  • In your phone calendar, and set an alarm reminder for the appointment
  • Ensure that your appointment does not conflict with other commitments

     Cancellation Fees for All Services

Non-Attendance “No-show” on the same business day  100% of full consultation fee

*Business day refers to between 8 am – 5 pm Monday to Friday. Notification of your intention to cancel or reschedule (IE; email, phone call, text message etc) received after 5:00 pm on any business day will be classified as received on the next business day and therefore may incur a same business day cancellation fee.

Medicare, Private Health Funds, and most Third-Party payers do not cover payment of cancellation fees. All cancellation fees are payable by the client with the exception of NDIS.
